Reporting to the Director, ERP Implementation, you will be responsible for supporting the delivery of the Enterprise Commons (EC) SAP S4 Hana and SAP SuccessFactors Enterprise Resource Planning (ERP) implementation program by planning, managing, and reporting on several concurrent project streams. In collaboration with the EC Project leadership, the individual coordinates and executes project plans and monitors project timelines and deliverables. This role is a key member of the overall EC Project Management Office.
Responsibilities- Manage all project management life cycle aspects in collaboration with the system integrator, including scoping, resource assignment, planning, tracking, and reporting.
- Maintain and organize project materials. Structuring the project folders in a standard best practice manner, ensuring materials are archived and filed as appropriate
- Create Project Templates to gather and structure project data, coordinating with the project streams to ensure project standards are followed
- Create and maintain project team guides/forms/templates
- Develop and maintain terms of references and applicable documentation for the Working Groups and Steering Committee
- Coordinate and manage multiple project streams, resources, and governance.
- Collaborate with stakeholders to provide recommendations on resource requirements, dependencies, and policy implications.Work with project leadership and functional leads to manage risks, issues, and decisions through the governance process
- Ensure effective project communication and escalation of risks, issues, actions and decisions through the governance process.
- Document project status against objectives, milestones, budget, and resources to facilitate issue tracking.
- In collaboration with the system integrator, create project schedules, estimate resources, monitor work plans, and track/report on project budgets and costs.
- Create project workshops/meetings, collaborating with stakeholders to align with the project schedule, ensuring all materials and resources are generated as well as ensuring the attendees are confirmed and available
- Maintain project meeting minutes and work trackers as needed, ensuring they are filed accurately and in accordance with the document management approach
- Provide guidance and support to project resources and functional leads for task completion and development of project plans.
- Package and present project deliverables to various internal teams and stakeholders.
- In collaboration with the system integrator, prepare project status reports and support the development of reports and presentation
- Advise functional leads about action items, upcoming deadlines and impact of dependencies and follow up to ensure action items are completed according to project timeline
- Manage multiple tasks simultaneously with continuous time management and prioritization to handle competing priorities.
- Monitor compliance for knowledge management for projects, ensuring document revision controls, records management and project working papers management.
- Coordinate information from different sources for accurate reporting.
- Manage onboarding and offboarding of resources.
Qualifications and Assets- Required Qualifications:
- Bachelor’s degree in public policy, business management, information technology, public administration, or a related field, or a Professional Certification.
- A minimum of five years progressive experience coordinating complex projects concurrently with multiple interdependencies. This experience must include project coordination of large-scale SAP ERP implementations.
- Demonstrated project management experience, including managing multiple projects.
- Proficiency in Google Suite applications, Google Sheets and Docs.
- Excellent communication, planning, and time management skills.
- Knowledge of industry best practices and standards.
- Preferred Assets:
- Project Management Certification or designation.
- PROSCI certification for change management roles.
- Finance knowledge and experience.
- Experience with S4 Hana and SuccessFactors.
- ITIL framework and Cobit training.
